Step One: Update Your Username & Password
Please log in to your Director’s account and update any information that is not current (for example: phone numbers, email address, etc.)
Step Two: Create a Membership Invoice
To create a membership invoice for your unit, log in as a director and select “Manage Unit”, then select “Invoices”. Select “Click Here to Prepare an Invoice” and the invoice page will appear. You will check the box “Current Member $400” and click on “Generate Invoice”. You will need to do this step for each of your units. If your additional unit is one from another school, you will choose either “First Year Member” or “Current Member” (if returning from previous year). If your additional unit is one from the same school (say a JV or percussion group) you will select “Additional Unit from Same Sponsoring Organization”. Once you have printed out the invoice (or invoices for multiple groups), please make a copy of it for your records and send the original, with a check or money order, to the SAPA Secretary at:

Once the secretary has received your Membership Invoice and Payment, you will receive an email letting you know you are cleared to make your show selections. Membership Fees are due each year no later than December 1st (This is a POSTMARK date!). All Membership Fees received after the December 1st deadline will incur a $50 late fee.
Step Three: Make Show Selections
To make you show selections, log in under the Director’s Log in section and select “Manage Unit”, then select “Show Selection”. When the Show Selection page appears, place a check beside each show you wish to attend. If you plan to attend a Saturday & Sunday Event, you will need to check BOTH days for that event as they will be listed separately. If you accidentally click a show that you do not want to attend, please email the Contest Director, Keith Guier, to have your unit removed from that event.
IMPORTANT INFO regarding Show Attendance:
If you decide to “withdraw” your unit from a particular event, you must do it BEFORE two weeks prior to the date of that event. If you withdraw your unit from the event, within the 2-week window, you will owe a Performance Bond of $75.00 per event.
If you withdraw your unit from the event, within the 1-week window, your unit will owe a Performance Bond of $150 per event. All Performance Bonds MUST be turned in to the Contest Director prior to your next scheduled performance (for example: if you are on the schedule for Saturday & Sunday, but you miss the Saturday performance, you must turn in your performance bond prior to your Sunday performance).
Step Four: Fill Out & Submit Paperwork
PROOF OF INSURANCE: All Color Guard & Percussion Units must show proof of Insurance Coverage. Some schools carry insurance policies on their students and some don’t. If your school does not carry insurance on your unit, please visit www.wgi.org and click on the RESOURCES tab, then click on INSURANCE INFORMATION, and there will be a link for you to purchase insurance for your unit. One insurance policy should cover a varsity guard, junior varsity guard, & percussion unit….please check the policy for the maximum number of persons covered. The deadline for submitting Proof of Insurance is December 21st (This is a POSTMARK date!).
SCHOLASTIC LETTER OF ELIGIBILITY: All Cadet, Novice, Regional A, and Scholastic Level Color Guard & Percussion Units must turn in a Scholastic Letter of Eligibility. The Scholastic Letter is a letter that lists EACH student’s name and states that they are currently enrolled in your school. This letter must be on “school letterhead” and signed by the school principal. If you have students participating from different schools, but the schools are in the same school district, you will need to get a letter from EACH school’s principal. Independent Groups do not need a Scholastic Letter of Eligibility. The deadline for submitting the Scholastic Letter is December 21st (This is a POSTMARK date!).
MUSIC LICENSING INFORMATION FORM (Color Guard ONLY): All Color Guard Units will need to complete the Color Guard Music Licensing Information Form found under the RESOURCES tab on the SAPA website. There are several licensing organizations listed on the form so that you may find licensing information regarding your show music. The deadline for submitting the Music Licensing Information Form is December 21st (This is a POSTMARK date!).
ORIGINAL COMPOSITION FORM (Percussion ONLY): If your unit is performing an Original Composition, you must complete and submit an Original Composition Form. The deadline for submitting the Original Composition Form is December 21st (This is a POSTMARK date!).
PERCUSSION SYNC LETTER (Percussion ONLY): All Percussion Units must complete and submit the Percussion Sync Letter. During the regular season, be prepared to show proof of correspondence with the company who holds the licensing rights to your music. The deadline for submitting the Percussion Sync Letter is March 1st.
PERMISSION TO ARRANGE FORM (Percussion ONLY): All Percussion Units, not performing an original composition, must complete and submit the Permission to Arrange Form. During the regular season, be prepared to show proof of correspondence with the company who holds the licensing rights to your music. The deadline for submitting the Permission to Arrange Form is March 1st.
IMPORTANT INFORMATION!!!
All Percussion Units MUST submit a Percussion Sync Letter AND either the Original Composition Form OR the Permission to Arrange Form.
Any Color Guard and/or Percussion Unit that has not submitted the above listed paperwork, by the deadlines given, will be removed from ALL event schedules until the paperwork has been received. Please note: if a show is FULL at the time you are removed, your unit will be placed on the waiting list for re-entry.

All Directors MUST read the Policy Manual & WGI Adjudication Manual very thoroughly. At your first competition, you will be asked to sign a statement stating that you have read and understand both documents. Please note: these documents are amended each year at our Annual Director’s Meeting in June…please make sure you are up-to-date on the most current information.
The Announcer’s Spiel Sheet is a form that you will fill out online. This form will include all information regarding your unit and show. Each week the sound technician will print out these forms. If you have information that changes from week to week, you will need to make sure that any changes are made no later than Thursday, at midnight, prior to each scheduled event.
The First Show Checklist is a useful tool for a new director. It lists several tips for making that first show a success for you and your students.
Critique is a session where directors have the opportunity to meet face-to-face with the judges so that you may receive feedback regarding your show. It’s a great opportunity for you to ask questions as well as receive comments regarding your show. Please review the Critique Reminders sheet for more information.
